The Jack Petchey Foundation, established in 1999 by Sir Jack Petchey CBE, is dedicated to inspiring and motivating young people aged 11-25 across London and Essex. By funding youth programmes, the Foundation aims to enhance young individuals' aspirations, achievements, and life experiences.
With over two decades of impactful work, the Foundation has supported numerous projects in schools, youth organisations, and the broader community, helping young people realise their potential.
The Challenge
Before implementing Salesforce, The Jack Petchey Foundation faced several significant challenges that hindered its operational efficiency and effectiveness:
- Limited Information Accessibility for Grant Officers: Grant officers struggled with accessing necessary information instantly. This limitation led to delays in processing grants and hindered their ability to make timely decisions.
- Inadequate Reporting Capabilities: The existing system couldn't combine fields and generate comprehensive reports, requiring constant manual adjustments. This inefficiency made gaining a complete and accurate overview of their activities challenging.
- Lack of Private Report Capabilities: The absence of a feature to create private reports for internal data experimentation meant that staff couldn't easily manipulate and test data to improve processes, leading to time-consuming manual data handling.
- Inability to See the Whole Picture: The old system's limitations prevented the foundation from having a holistic view of its operations, which impacted strategic planning and decision-making.
- Time-Consuming Audits: Audits were a prolonged process, taking weeks to complete. This inefficiency was a significant drawback, causing delays and resource strain.

Automation of processes in Experience Cloud allows Grant Officers to work more efficiently.
For example, processing grant applications has been sped up by about a week per application.
Nadia, how has this impacted the Grant Officers across the team?
Nadia shared, "The implementation of Salesforce had a massive impact on our team.
By automating many of the processes in Experience Cloud, our Grant Officers can do a lot more with their time.
When a grant application comes in, they see it instantly and can use tools to speed up the processing of that application by about a week per application, which is fantastic!
It also means that they can spend more time visiting young people and organisations who have been awarded grants, which is hugely rewarding and important."
Enhanced Reporting:
The ability to quickly and accurately generate reports has saved substantial time. For their 25th anniversary, the Foundation could pull a comprehensive report in a fraction of the time it previously took, saving at least a week's worth of work.
"Salesforce has been a game-changer for us, especially when pulling reports for our 25th anniversary. We wanted to know how many people have served a single school or organisation for 20 continuous years and celebrate that, as it's a considerable achievement.
Before Salesforce, going through 20 years of reports and compiling the necessary data for our birthday report would have taken weeks of manual work, merging multiple Excel sheets and verifying information, and potentially making human errors handling so much data. Now, with Salesforce, we can quickly and accurately generate the report in a fraction of the time by adding one field to the reports. This efficiency has saved us at least a week's work, allowing us to focus more on celebrating our long-serving coordinators and less on administrative tasks." - Allison Burrow
Streamlined Audits:
By providing auditors with a read-only licence to access Salesforce, the Foundation has saved weeks of preparation work. This capability ensured that audits could proceed smoothly, even during unforeseen circumstances, such as when a staff member was unwell.
"We simply give the auditors a read-only licence to access Salesforce, which has saved us weeks of prep work and having to be with them while they are auditing because we'd need to pull reports or share files.
With all of our processes on Salesforce, all files, award letters, and auditors can see everything. Last year, I had COVID and was very unwell; thanks to Salesforce, the audit could still go ahead, as they could log in and perform the audit."

Sadly, two weeks after writing this success story, Sir Jack Petchey CBE passed away, aged 98, leaving an incredible mark on the children, families and communities he impacted with his positivity and enthusiasm for making the world a better place, and showing people what was possible with support. The Hyphen8 team sent their sincerest condolances to the team, and we are thinking of them at this time.
